What’s in a webinar? 5 marketing essentials

by | Apr 11, 2024 | Content, Strategy

Looking for webinar essentials? At Content Matterz, we love working with our clients to produce engaging webinar content. Whether it’s helping our partner marketer friends train and educate users or repurposing a conference presentation into an available-on-demand session, webinars are our jam.

There is no doubt that webinars are great for reaching people! And, just like many events, webinars have many components. So what’s essential?

Below, we’ve gathered everything you need to make sure your next webinar goes off without a hitch.

1. Every webinar needs a registration landing page

The best place to start is always the beginning: the sign-up. You want to give your attendees a landing page where they can register for the webinar. Your registration page should include all the information potential attendees need to know that this presentation is of value to them.

For layout, we suggest:

  • A catchy name or title up top!
  • A small blurb explaining what they should expect to learn
  • Logistics (time, date, etc.)
  • Short speaker bio(s)
  • An obvious CTA button to “Register now” or “Register here.”

Remember to feature branding that matches your company. If you are co-presenting with a partner, be sure to include elements and logos from both partners.

2. Digital promotional materials help spread the word

Once you’ve published your landing page, you’ll want to drum up some buzz. We recommend promoting across social media, emails,  newsletters, and even the occasional website pop-up. Your graphics should highlight key webinar details, such as the date, time, topic, and featured speakers. Remember to match your design to the look and feel of your landing page for consistency.

3. Design a deck that delivers with interactive presentation slides

Now, you could just let your speaker be the only visual on the screen. But if you know anything about human nature, it’s that we need more to stay engaged! Whether you are hosting a guest presenter or an internal speaker, creating a presentation deck is a great way to ensure your attendees will pay attention — and your webinar will look cohesive. Slides can include visuals, key talking points, and interactive elements like QR codes so attendees can (easily) learn more.

4. Remember to send out your invite emails

For webinar invites, you should send at least 3–5 emails encouraging attendees to sign up. Keep in mind, you are selling the event — not the company! Focus on the key things that the audience will take away from the event and get specific so they understand why they should give up their time for this event.

A straightforward cadence might be:

  • A first email that announces (or teases) the event.
  • The second and third emails can feature a few more details about the speaker or highlight any partners.
  • Use the final one or two to let potential guests know they “don’t want to miss this webinar” or that it’s their “last chance to register.”
  • As a bonus, include a “sorry we missed you” note for anyone who signed up but didn’t make it to the live webinar.

When presenting with a partner, a coordinated email campaign can help you promote your webinar to their email list. Include the same series of pre-webinar emails to build anticipation, a reminder closer to the event date, and a follow-up with a webinar recording for those who couldn’t attend live.

5. Use (and reuse) your recording once the webinar is over

On the topic of follow-up, your post-event materials should include a thank-you email to attendees. You can also repurpose your landing page to enable access to the recorded webinar (in exchange for an email, of course), and you can share a link to the updated landing page on social media and in newsletters for those who might have missed the live session.

With a little planning and a lotta components (or at least the five above), your next webinar will be a smash! If you’re in a pinch, consider getting event content help in a handy package.
